WHAT TO EXPECT AT THE EVENT

Timeline:
4:30PM: Suppliers and ASTA Board arrive to venue
5:00PM: ASTA Board Member will brief suppliers on evening
5:15PM: Advisor sign in will begin, doors will remain closed
5:30PM: Doors officially open
5:30PM: Bar will be open
5:45PM: Board Member will give a welcome talk and explain the evening
6:00PM: Food will be put out
7:50PM: Closing remarks
8:00PM: Prize drawing begins
8:30PM: Event will be closed out
- Arrival Time: We ask that suppliers start to arrive at 4:30pm. We would like all booths set up by 5:00PM
- Dress Code: Business attire, or we would love to see your best Holiday Attire!
- There will be ASTA Representatives on site to direct you to your tables on arrival.
- You will find a loading dock on the east side of the building. You can feel free to load your supplies though the loading dock if you would like. There will be a storage room by the loading dock. We ask that all boxes, extra supplies, and personal items be stored in this room. This is also where we will stage all prizes.
- There will be tents with your name on the table that its assigned to you. The tables will have a black table cloth and skirt. Feel free to bring your own table runners, etc. Each supplier will have a table that is 6-8 feet in length, so make sure too bring enough decorations and swag!
- We ask that you try to bring just as many brochures and swag as you will need. We will not have a lot of space for disposal. Any left over swag (not brochures) that you leave will be stored and handed out randomly at our future events.
- We will be providing bags at registration for attendees to place their items into. If you are one of our event sponsors, and would like anything pre-placed into the bags, please let us know. If you want this to happen, you will need to arrive early with the items so we can stuff the bags.
- Each advisor will receive a passport, we will ask them to get a stamp from each supplier prior to the prize giveaway. They will turn the passport in to be eligible for the prizes.
- As always, we ask for a prize to be donated. We have already been notified of some great prizes, including trips and cruises. We thank you in advance! You may donate anything, we do ask that it has a decent value. We are asking that you submit the form at the bottom of this page to notify us of what you will be donating!

The Venue
- If you are driving, parking is available on site.
- Food and drink will be located in two spots in the room. Each supplier and advisor will be provided with 2 drink tokens for wine. Additional glasses can be purchased on site.
- We will be playing a slideshow through the event. The slideshow will include the logos of each supplier attending. If you are an event sponsor there will be additional media playing, we will also include past ASTA Photos. There will be no sound, other than holiday music playing in the background.
- There will be holiday decorations to make the event festive, feel free too decorate your table.
- We will have a few "selfie booths" that are holiday themed on site.
We realize that many of you are not local and some will be coming up from the Portland event that is happening the night before. If you will need a hotel room, either before or after the event, we have arranged discounted rooms.We love to have out of town guests attend our events. SUITCASE DRIVE
We will be holding a new suitcase drive this year. All of the new suitcases will be donated to 'Treehouse" which is a non-profit serving youth in foster care. These bags will be provided to the youth so they have something to carry their belongings in when moving foster homes. These suitcases are required to be brand new, so please leave the tags on them. You can bring them right to the event. If you are unable to travel with the bag, we will have a link available to order online.
